POSITION ANNOUNCEMENT

POSITION TITLE: Director of Admissions and Records

SALARY: 24

MINIMUM QUALIFICATIONS:

Education: Master Degree in educational administration, student personnel, guidance, counseling, business, or related specialty requested.

Experience: Must have 2-3 years experience in student enrollment. Demonstrated enrollment management skills required. Community college experience preferred.

Skills/Abilities:

  1. Advanced competency in software technology including student management
    and spreadsheet software.
  2. Presentation skills for workshops, college tours, and recruiting.
  3. Demonstrated ability to work across an organization with different departments.

REPORTING STRUCTURE

Reports to: Assistant Dean of Student Services

Supervises: Student Records Secretary, Enrollment Services Secretary (shared with Enrollment Services Specialist)

RESPONSIBILITIES OF THE POSITION:

Admissions

  1. Coordinates and manages the application process from inquiry to registered by doing the following: communicates and works with
    1. inquiries to achieve a high inquiry to applicant rate
    2. applicants to achieve a high applicant to tested rate
    3. tested applicants, to achieve a high tested to registration rate.
  2. Works with Enrollment Services team members to enhance inquiry to registrant flow, the first part of the recruitment-retention-transition strategy for the College. Specifically, with the
    1. College Recruiter to expand inquiry pool.
    2. Enrollment Services Specialist and College Recruiter to conduct college tours.
    3. Enrollment Services staff to provide workshops to high schools and for special events.
    4. Enrollment Services staff and Center for Student Success staff to coordinate New Student Orientation for fall and spring semesters.
  3. Works with Enrollment Services team members to coordinate and manage special cohorts including:
    1. NJ Stars
    2. High School programs Tracks inquiry to applicant to tested to registered, and develops projections based on data and interventions.
  4. Coordinates development and evaluation of a seamless, student-centered, enrollment services process.
  5. Prepares reports as needed. Creates reports that illustrate effectiveness of enrollment services processes and improvement measures.
  6. Insures admissions data for SURE and IPEDS reports are accurate.
  7. Is liaison for dual enrollment agreements with other colleges including Wilmington University, Strayer University and Chestnut Hill College.
  8. Works with Institutional Research to produce data on cohorts including: nursing, part-time, and nontraditional students.

Records

  1. Handles all registrar responsibilities including maintaining accurate and confidential student records.
  2. Manages receipt and processing of student records including transcripts, immunization forms and other materials.
  3. Insures confidentiality of all student records and coordinates FERPA compliance for the College.
  4. Coordinates distribution and receipt of class rosters, grade forms, graduation applications, and related materials.
  5. Oversees accurate processing of course grade forms, change of grade forms and graduate applicant tracking.
  6. Processes transcripts for students transferring to the College and transferring to other colleges.
  7. Serves as liaison for Admissions and Records to the Division of Academic Affairs.

  1. Other duties as assigned by the Assistant Dean of Student Services and/or the Vice-President of Student Services.
